The role of the Church Administrator oversees and manages the day-to-day operations of the church, including human resources, facilities management, and all administrative tasks. The Church Administrator works closely with the church leadership team to ensure that the church’s mission and vision are carried out effectively.
Primary Responsibilities and Tasks of the Church Administrator
- Keep church records as assigned, including records required by the Doctrine of Discipline of the AME Church as well as those requested by church committees.
- Prepare weekly and special service bulletins.
- Send out notices of meeting of all committees as requested. Assist in drafting and typing letters, reports, records, etc. as needed for program staff and church officials.
- Maintain and update database of mailing lists, membership status, birthdays and committees.
- Organize and send bulk mailings.
- Complete postal forwarding of daily church mail.
- Maintain a master calendar of all church activities and of all events taking place in our facilities.
- Order and maintain an adequate inventory of office supplies.
- Arrange for delivery or pick up of supplies when necessary. Maintain office equipment and arrange for repairs when necessary.
- Give clerical support to all program staff and church committees.
- Order curriculum material and other supplies needed by the church as directed by staff.
- Perform other tasks as will be assigned by the Pastor.
- Arrange for work to be done when away for vacation, training events, or leave of any kind.
- Inform the Pastor, member(s) of Board of Stewards and member(s) of Board of Trustees at least two weeks prior to taking a vacation, time for training events or personal leave of any kind.
- Contact the Pastor, Board of Stewards and Board of Trustees in the case of sudden illness as soon as possible so a replacement can be obtained.
- Maintain schedule of weekly worship participants. Attend upon reasonable notice meetings of the Church Personnel Committee or Board of Stewards.
